General Description
The role of the Physical Therapy Reimbursement and Authorization Specialists is to orient and educate patients and/or their family by meeting them; explaining the role of the PT Admin Assistant; Verifying insurance and obtaining Prior Authorizations for Physical Therapy Services, Scheduling the PT evaluation and initiating the care plan; providing educational information in conjunction with direct care providers related to treatments; procedures, provide cost estimate and financial arrangements, prioritizing plan of care to maximize benefits and patient needs and continuing care requirements. The PT Reimbursement and Authorization Specialists must be organized, possess strong phone and communication skills, and must be proficient with a computer. The Reimbursement and Authorization Specialists must always be patient, understanding and be a pleasant and welcoming presence in the office.
Responsibilities & Duties
Setting up employee patient payment plans for Physical Therapy services.
Verifying the patient’s Physical therapy insurance benefit eligibility and coordination of benefits.
Verify and obtaining Prior Authorizations prior to scheduled appointments.
Explaining insurance benefits to patients.
Managing payments and overdue payments.
Ensuring patient Physical Therapy benefits and PT documents are up-to-date in the medical record.
Entering data into medical record for tracking patient’s PT benefit (i.e. tracking number of covered PT visits and deductible.)
Handles incoming phone calls and directs inquiries appropriately.
Verifies and calculate all insurance eligibility for Physical Therapy and received all insurance co-pay payments and coordinate with Business Office to ensure accurate and timely payment posting to patient accounts.
After obtaining PA’s, Physical Therapy Reimbursement and Authorization Specialists will schedule evaluations and subsequent visits per PT POC.
Works with Director of Rehab Services and Therapy Providers to ensure that scheduling proceeds in an effective manner.
Maintains patient care database by entering new information as it becomes available, verifying findings and submitting evaluations or re-evaluations as required obtaining necessary Prior Authorizations for all PT interventions.
Greet patient arriving to PT Department, checking patients in, checking patient out and answering PT phone calls.
Safeguards confidentiality of the medical charts/electronic health records and complies with all local, state, and federal laws pertaining to medical records.
Assures compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.
Due to the sensitive financial nature of duties, must be able to collect copays and financial arrangement payments from patient, applying appropriately to patient account.
Performs other related duties as assigned.
Education Requirements and Qualifications
High School Diploma with 2-5 years’ experience in registration tasks and obtaining Prior Authorizations (PA’s).
Documented training and experience in maintenance of medical records.
eClinical works EHR systems experience is preferred.
A working knowledge of medical terminology and physiology and legal aspects of health information.
Knowledge of accreditation standards and compliance requirements.
Must have knowledge of or experience in working with third party resources such as Medicare, Medicaid and Private Insurance, Contract Health or Coordination of Benefits, medical records, and patient registration.
Must be reliable, detailed oriented, capable of multi-tasking with excellent written and verbal communication skills as well as strong professional customer-service interpersonal skills.
Ability to adjust to changing conditions.
Must be computer literate required 9Windows operating systems – Microsoft Word, Excel).
Must have a valid Oklahoma Driver’s License.
Must be able to pass a background check.
