General Description
The purpose of this position is to provide administrative, clerical, and office management to the Diabetes and Wellness Program Coordinator and other staff members of the Diabetes and Wellness Program. This position is located at the Absentee Shawnee Tribal Clinic- Little Axe Clinic in Norman Oklahoma. The Little Axe Clinic is an outpatient multi-disciplinary clinic established and managed by the Absentee Shawnee Tribe of Oklahoma. The Little Axe Clinic is an ambulatory clinic that provides direct care services to Native American patients.
Responsibilities & Duties
Provides administrative support, coordinating and collaborating with different departments for multiple programs within the Diabetes department.
Triages, maintains, coordinates and schedules referrals to the Diabetes and Wellness department programs.
Documents all necessary information from patient prior to seeing the Diabetic Educator and other diabetes staff.
Completes data entry for grant reporting purposes, data tracking and maintaining efficient patient care.
Assist with grant management including but not limited to: grant writing, attending grant meetings, and communicating with grant Program Managers.
Provides office management including but not limited to: inventory and ordering supplies, budget organization, and patient and grant file organization.
Coordinate Diabetes and Wellness events. Accompany diabetes staff to community events.
Must be able to efficiently collaborate with multiple people and departments.
Must possess good communication skills with diabetes staff and other departments.
Maintains appointments and regulates scheduling with the Diabetic Educator and other diabetes staff.
Coordinates appointments between clinic departments for patients in the diabetes program.
Performs other related duties as assigned.
Education Requirements & Qualifications
Education and Qualifications
Bachelor’s degree or higher.
Three (3) years relevant work experience.
Knowledge of general office automation, practices and procedures in order to store and retrieve general medical records data; typing proficiency required for general office work.
Familiar with managing grants.
Knowledge of the laws and regulations on the confidentiality of medical records and the procedures for informed consent for release of information from the records.
Knowledge, Skills and Abilities:
Strong verbal and written communication skills.
Excellent analytical abilities and strong problem solving skills.
Ability to troubleshoot and resolve application issues as required.
Ability to recognize and apply CMS and ONC guidelines regarding the Hi-Tech Act.
Strong organizational skills.
Proficiency in Microsoft Office applications, including Excel, PowerPoint, and Word.
Willingness to be cross trained in other clinical functions and to perform other duties as assigned.
Must have a valid Oklahoma Driver’s License.
Must be able to pass a background check.
Must be able to pass a drug test.
Physical Requirements and Working Conditions
Must be able to sit, stand, stoop, bend or kneel for long periods of time.
Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
