General Description

Provides administrative support to the Human Resources Director on all personnel matters. Performs clerical duties to ensure the accurate and timely processing of personnel information.  Duties may include processing applications for employment, performing simple mathematical calculations, answering phones and responding to general inquiries. Supports human resources processes by administering required test; scheduling appointments; maintaining records and information.  Reporting skills, maintaining employee files, dependability, organization, scheduling, confidentiality, independence, verbal communication, teamwork, and Microsoft Office skills essential to the success of this position.

Responsibilities & Duties

  • Performs customer service functions by answering employee requests and questions.
  • Answer employee questions about policy and procedures; refers to HR Director or HR staff as needed.
  • Provides overall administrative support to the HR department including maintaining, processing documentation and records.
  • Compiles and prepares data for statistical reporting.
  • Keeps employee records up-to-date by processing employee changes as requested.
  • Verifies I-9 documentation and maintains I-9 records.
  • Processes Oklahoma New Hire Reporting.
  • Files papers and documents in to appropriate employee files and conducts audits of employee files
  • Maintains employment website postings & advertisements and publications.
  • Monitor and maintain office supplies
  • Processes Supply Requests and Purchase Orders
  • Ensure office equipment is properly maintained and serviced.
  • Supports employment area with scheduling interviews, handling reference checks and personnel changes.
  • Assists in projects such as: HR events, benefits open enrollment, job fairs, employee communications and meetings.
  • Assists employees with new hire process including all necessary paperwork.
  • Ensures that all employees receive up to date copy of the Administrative Systems Manual
  • Assists with recruitment.
  • Assists with the day-to-day efficient operation of the HR office.
  • Other duties as assigned.

Qualifications

Education and Qualifications
  • High School Diploma or equivalent.
  • Associates degree or equivalent study from an accredited college or university in Business or related coursework.
  • A minimum of 1-3 years of office experience required.  Years of relevant experience may be substituted for required education on a year-by-year basis.
  • Data entry/computer skills required.
  • Excellent telephone and oral communication skills as well as written.
  • Must be detail oriented and have the ability to multi-task.
  • Must have a valid Oklahoma Driver’s License and be able to pass a background check and drug screen.

  • Problem solving - the individual identifies and resolves problems in a timely manner and gathers and analyzes information skillfully.
  • Interpersonal Skills - the individual maintains confidentiality, remains open to others’ ideas and exhibits willingness to try new things.
  • Ability to exercise considerable initiative and willingness to learn Native American Human Resources Practices.
  • Ability to establish and maintain good working relationships with other individuals of varying social and cultural backgrounds.
  • Planning/organizing - individual prioritizes and plans work activities, uses time efficiently and develops realistic action plans.
  • Must be able to interact both professionally and effectively with executive personnel, board members, and government officials, within and outside the tribal organization.
Working Conditions Physical Requirements
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
  • Must be able to travel if necessary.
  • Frequent lifting (up to 15 lbs)
  • Occasional lifting (up to 30 lbs)
