General Description

This position is primarily located at the Shawnee Health Clinic, Shawnee, Oklahoma. The Shawnee Health Clinic is an outpatient multi-disciplinary clinic established and managed by the Absentee Shawnee Tribe of Oklahoma to serve Native Americans. The primary responsibility of this position is scanning and indexing of medical data for clinic patients into the electronic health record. Organizes and check medical records for completeness, accuracy, and compliance with regulatory requirements.

Responsibilities & Duties

  • Responsible for cross-training in all HIM Specialist duties with a focus on auditing.
  • Conduct daily clinic rounds to retrieve incoming documents for scanning and analyzing.
  • Analyze documents prior to scanning for correct tab, title, and patient accuracy.
  • Scan documents into the EHR chart with correct indexing and title name.
  • Daily tracking of documents needing signatures.
  • Conduct compliance audits on scanned documents and release of information requests as needed.
  • Safeguard confidentiality of the medical charts/records and complies with all local, state, and federal laws pertaining to medical records.
  • Perform all release of information requests following HIPAA regulations and compliance with local, state, and federal laws.
  • Assure compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.
  • Review/audit medical charts/records for accuracy and completeness.
  • Participate as a team member with Clinic staff and PR staff.
  • Monitor and record discrepancies from records review and returns forms to providers for correction.
  • Provide HIM duties at multi-sites on an as needed basis.
  • Compile and retrieve medical records data for audits and performance improvement studies, research, patient care evaluations activities, reports, and Health Center compliance.
  • Perform other duties assigned.

Education Requirements and Qualifications

  • Education and Qualifications
  • High School diploma or GED and minimum of four HIM classes.
  • HIM Associates Degree preferred.
  • 2 years of experience in patient registration, scheduling, and medical data entry, or medical records.
  • One year in an actual outpatient setting is preferred.
  • Certification or pending certification in medical terminology and coding.
Knowledge, Skills and Abilities
  • Computer literacy required (Window operating systems (Microsoft Word, Excel).
  • Display a positive attitude as well as professional, polite, considerate and courteous conduct and treatment of others in the course of duties.
  • Must be able to keep information confidential.
  • Maintain acceptable levels of attendance and punctuality as specified in trial and departmental policies.
  • Able to demonstrate good oral and written communication skills as well as analytical thinking.
  • Must have valid Oklahoma’s driver’s license.
  • Must be able to pass a criminal background check and drug screen.

  • Must be able to sit, stand, stoop, bend or kneel for long periods of time.
