General Description
The 477 Programs Intake Specialist will be the critical first step of client engagement including outreach, welcoming clients in a culturally sensitive dignified manner, gathering application data and entering data. The 477 Intake Specialist will assist with general office duties as meeting with participants applying for AST 477 Program Services. The 477 Programs Intake Specialist may also perform program intake, delivery and client interventions. They may also perform work to include, but are not limited to, determination of program eligibility; and resource and referral for services for clients to other departments to assist with employment, education and training activities.
Responsibilities & Duties
Will be the first encounter for 477 Participants, must be courteous and respectful to all inquiries/individuals.
Will maintain 477 Program staff client interview schedules and appointments.
Will assist Outreach Coordinator in maintaining referral information.
May conduct interviews with clients and completes necessary documents. Compiles data to determine eligibility for the 477 Programs; maintains accurate records on program participants.
Assist in performing initial in-depth assessments of employment history, job skills, transferable skills, entry level and advanced abilities, training and education of the eligible participants and refer to 477 Case Managers.
May assist Case Managers with 477 participants to set goals, steps, tasks and time lines to develop and execute a written plan/contract between the 477 Programs and participants. The goal is to achieve permanent, full time employment.
Assist Case Manager in working with participants to monitor individual progress and compliance with employment and/or job search plan/contracts. Includes ongoing maintenance of case notes, plan/contract renegotiations and updates.
Maintain files and process all paperwork to ensure due process and in compliance with Federal regulations and confidentiality and privacy laws.
Monitor/assist in the progress of each client's currently working to attain GED/High School Diploma.
Must be able to present 102-477 regulations clearly and accurately to participants and public.
Participates in staff conferences for the purpose of overall program planning.
Provide input to 477 Director on the processes and implementing best practices.
Provide input on monthly reports presented to the Governor for informal or formal oral evaluations of the program.
Must adhere to Absentee Shawnee Tribe Personnel Policies and Drug and Alcohol Policies
Other duties as assigned.
Education and Qualifications
High School Graduate or GED Equivalent.
Prefer One (1) year experience in Human Services field, or related work in a family relations or public assistance program and/or Associates degree, preferably in Human Services or related field.
Effective oral and written communication skills.
Must exercise mature judgment in dealing with people and in solving individual and family concerns related to employment, education/training and support services.
Must be able to pass a drug test for pre-employment for the Tribe
Must have a valid Oklahoma Driver’s License.
Must be able to pass a background check.
Physical Requirements and Working Conditions
Must be able to sit, stand, stoop, bend or kneel for long periods of time.
Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
